Executive Assistant

The Executive Assistant is primarily responsible for providing support to the CEO and executive leadership team. This role requires in-depth knowledge of company operations and handles details of a highly confidential and critical nature. The Executive Assistant is a trusted advisor for the executive leadership team who can work cross-functionally and manage across multiple initiatives.

This is an ideal opportunity for an experienced EA who wants to build on that experience with the goal of becoming chief of staff.

Responsibilities

  • Collects and prepares information for use in discussions/meetings of executive staff and others
  • Prepares presentation materials for company and board of director meetings
  • Confidentially researches, prioritizes, and follows up on issues and concerns addressed to the executive team
  • Organize and manage strategic projects and corporate initiatives
  • Manages Sharepoint to serve as repository for HQ workstreams
  • Builds effective working relationship with the team, including executives and Senior Managers
  • Execute written and electronic correspondence, memos, charts, tables, graphs, business plans and reports which may contain highly confidential and sensitive information
  • Assist CEO with calendar management
  • Assist CEO and executive leadership team with travel arrangements as needed
  • Reconcile executive leadership team’s expense reports and other documents relevant to business operations
  • Other projects as assigned

Requirements

  • 3+ years’ experience in a B2B SaaS industry Executive Assistant role with success supporting C-level executives
  • Technically savvy, comfortable with a variety of Business SaaS tools with a strong appetite to learn
  • Experience setting up and managing Teams and Sharepoint sites
  • Outstanding time management and leadership skills with demonstrated ability to handle multiple priorities while keeping up with the details, with support from the executive team to manage work life balance
  • Exceptional analytical, organizational, and communication skills
  • Self-motivated; capable of working independently
